The Academic Advisor and Administrator (“Advisor”) is responsible for the delivery of holistic, integrated program advising that guides and assists current students in their program progression from admission to graduation. The Advisor maintains current knowledge of programs and options along with program development and changes. The Advisor ensures currency and relevancy of advising practices. The Advisor acts as a resource person on information related to academic policies and provides advice and feedback in relation to proposed policy changes that support students and encourage enrollment. The Advisor also acts as the College’s chief graduation officer and ensures that students have met the needed requirements of their program for graduation.

The salary range for this position is $50,000–$53,000 CAD per annum.

Essential Functions:

  • Advises students on course selection, workload, and program completion plans and informs relationships with prospective students from the point of first contact through successful enrollment. Conducts advising appointments in person, online, and over the phone.
  • Guides students on academic and enrollment policy changes, program concentrations, course options, and program residency requirements. Advises and recommends academic options and processes when unforeseen circumstances—such as personal, medical, or family emergencies—arise.
  • Reviews, evaluates, and assesses requests and appeals to academic policies, extensions, transfer credits, advanced credits, and exemptions.
  • Responds to student inquiries on advising questions, providing information and addressing concerns in a timely manner. Collaborates with admissions team on advising questions from inquirers and applicants, especially regarding transfer credit and exemption assessments.
  • Oversees and coordinates special accommodations granted to students with disabilities.
  • Assists, guides, and monitors students through academic probation and brings appeals to Academic Standards Committee (ASC). Prepares required documentation and presents cases to the ASC as secretary for the committee.
  • Performs duties as graduation officer for the college. Conducts graduation audit to ensure that students have met program and graduation requirements. Works with President’s Office in the planning, coordination, and organization of tasks related to Regent’s graduation ceremony and post-graduation activities.
  • Assists with proofreading and updating information in the Academic Catalogue and other publications in consultation with Registrar.
  • Maintains student records, including academic records and forms, transcripts, and certificates. Receives, files, and updates records as necessary. Oversees processing of student transcript requests, reconstruction of transcript records, and coordination of degree exchange. Conducts training of student employees to assist with these tasks.

Qualifications:

  • Understands and supports the ethos and mission of Regent College as articulated in the College’s Theological Position, which includes a Doctrinal Statement and a Moral Vision Statement.
  • Bachelor’s degree in a relevant field.
  • 2–3 years of experience in academic advising in a higher education institution or equivalent relevant experience. Experience advising in graduate-level programs considered an asset.
  • Highly organized with meticulous attention to detail.
  • Excellent time management skills and the ability to prioritize tasks.
  • Able to represent and promote the values and ethos of Regent College.
  • Able to use sound judgment.
  • Strong written and oral communication skills.
  • Strong interpersonal skills and able to successfully communicate with multiple stakeholders such as faculty, prospective and current students, and other departments.
  • Ability to work effectively on a team with diverse functions.
  • Experience working in databases, online CRM, or student information system considered an asset.
  • Proficient in MS Word, beginner level in Excel.
